Setting up the team's Groupme
- Set up a GroupMe group. I recommend NOT adding the parents to the GroupMe group. Instead, send them the link and tell them to join. This helps you keep track of which parents have not registered.
- Send an email to all of the parents on the roster. A sample email invite is below.
- Save contacts to your phone. You can do it from your email, which speeds up the process, allowing you to copy and paste from the roster. I would recommend doing this in case you ever need to contact a parent quickly, such as for injury or if you can’t find the parent at the end of practice…
- In Outlook, create a “Home -> New Item -> Contact”
- Forward the contact to yourself as a vCard
- Save the contact to your phone
- Send a text message one at a time inviting the parent to the GroupMe. An example of the message is below.
- In 24 hours, compare who has joined the GroupMe versus your roster. Anyone who hasn’t called yet, call them. It’s possible that the contact info on the roster you received is incorrect.
- If you can’t confirm that you have opened communication with the parent, then please let staff know because we may have other contact info or may need to make roster adjustments.

Saving Contacts in Outlook
I recommend putting the players name and DOB into the company section.
Email the vCard to yourself.
When you receive it, you should be able to save the contact to your phone.
